Clients should not process sensitive information through a system unless it is reasonably necessary for the intended business purpose and appropriate safeguards are in place.
Where sensitive information is processed, clients remain responsible for ensuring that their collection, storage and use of that information complies with applicable law.

Automation may assist with safety administration, document collection, alerts, reporting and compliance monitoring.
Qualified or responsible persons must remain involved where decisions concern physical safety, hazards, workplace incidents or whether work can safely proceed.
Users should not rely solely on AI-generated outputs for decisions requiring qualified professional judgement where an incorrect decision could create significant risk.

Systems must not be deliberately used in a manner designed to create excessive or unnecessary infrastructure usage.

Messages
Automations
Data processing
Storage
Server activity
Other usage-based activity
Normal increases resulting from legitimate business growth are not considered abusive usage.

Clients must not intentionally attempt to circumvent these limits.
Where business activity increases beyond existing infrastructure or service limits, system capacity or service arrangements may need to be adjusted.
Users must comply with the acceptable use policies, terms and restrictions of third-party platforms connected to AI Viking systems.
A violation of a third-party provider’s rules may result in that provider restricting or terminating access to its services.
The AI Viking is not responsible for restrictions imposed because of a client’s misuse of a third-party platform.
Clients should not make unauthorised modifications to systems where those changes may affect system security, reliability or connected automations.
Changes to fields, databases, permissions, integrations, APIs, authentication or workflows may cause systems to operate incorrectly.
Clients should consult The AI Viking before making significant changes to connected systems.
Unless expressly authorised in writing, systems provided to a client are intended for that client’s internal business operations.
Clients must not resell, sublicense, commercially distribute or provide proprietary AI Viking systems to another business for the purpose of reproducing or commercially exploiting the system.
The AI Viking may monitor systems under our management where reasonably necessary to:
Maintain system performance
Investigate errors
Protect system security
Identify misuse
Troubleshoot automations
Manage infrastructure
Enforce contractual obligations
Any monitoring involving personal information will be handled in accordance with our Privacy Policy and applicable law.
Users should promptly report suspected:
Unauthorised access
Security breaches
